Board of Directors Meeting Minutes
December 13th, 2005

- Motion was made, seconded and carried to approve November's minutes.

- Treasurer - preparing the 2006 Budget, and will bring a preliminary budget to January’s meetings. If there is anything that you want added to the budget, email it to K. Doermann.
- There is an error on the balance sheet under Long Term Reserves. It says $27,228.82 when it should say $35,968.22.
- Committee Reports
- Architectural Review Committee - E. Clements
- Tot lot clean up has been done.
- Shenandoah contract renewal. The current contract is $30,640. The new contract would cost $31,865.80 and would be paid in 9 monthly installments. During the second and third year of the contract it would cost $32,821.57.
- Motion was made, seconded, and carried to approve the renewal of the Shenandoah contract.
- Parking and Roads Committee - K. Doermann
- One street light was burned out and three others vandalized. They have been repaired.
- There have been two snow events. Emery came in on the last snow fall to plow.
- Virginia Dominion Power will charge $2,000 for the wiring of the west side of sign. The light fixture would cost $100 and the new meter would cost about $1100. PSE will charge $2500 to connect the light to the current meter. Therefore the most cost effective option is to contract with PSE to wire and install the west side sign light. This will be put into next year's budget even if HOA can get Day Care to pay this expense per the contract.
- There has been no response from Mr. Jackson regarding the contract.

- J. Savory – absent – no report.

- Contract Services
- Ron was not able to convince AAA Trash to keep our rates at the current level.
- Other trash companies such as New Vision would cost $11.50 per unit/per month. American Disposal will charge $14.14 per unit/per month. While New Vision had the low cost it is believed that they low balled to get the contract and within 6 months would raise their rates again. Ron is recommending to contract with American Disposal.
- Discussion of cancellation of AAA contract.
- With American Disposal trash and recycling days will remain the same.
- Old Business
- Mailboxes - have handed out keys to homeowners.
- Merrifield post office maintenance will put in the new mailboxes.
- Unsure of when the meeting with Centex will occur. They have already cancelled three times.
- Shenandoah put down 8-9 bags of gravel on a path, and charged the board $675. They were asked to put only a couple of bags of gravel. Have requested a credit for the over charge for this work.
- New Business
- Discussion of Alden Glen making a donation to the community advisory committee at the Fairfax Country Police Department. Will be looked at in the budget for next year.
Motion was made, seconded, and carried to approve to adjourn to executive session at 8:05 PM for Board consultation with their attorney.
Returned to open meeting at 10:00 pm.
