Board of Directors Meeting Minutes
November 8th, 2005
Directors Present: Jennifer Savory, John Clements, Kim Doermann, Mary Hanson, Elaine Clements, Mark Fox, Dorothy Ogilvy-Lee
Others Present: Ron Crandell (SFMC), Jimmy Jackson (HCD), Mrs. Jackson (HCD), Dena Roudybush (Attorney)
Annual meeting with J. Jackson regarding the day care center
- Motion was made, seconded, and carried to approve to change the order of business in order to discuss the day care center with J. Jackson.
- J. Jackson discussed concerns regarding trash and dog waste found on his property, as well as trespassers using the day care parking lot.
- Board addressed the fact that road work was done in the neighborhood and the flyers specifically said not to park in the day care parking lot.
- J. Jackson indicated the reason the Day Care name was not permitted to be on the entry signs was because a commercial company's name cannot be placed on a sign that is located on a "right of way".
- Discussion of the contract signed by Mary Ann Ghadban. Copies given to both Mr. Jackson and Dena Roudybush.
- Discussion of snow removal obligation.
- Discussion of front entry sign obligations.
- There should be a follow up in 30 days for issues discussed.
- R. Crandell and K. Doemann and J. Clements will be the points of contact for J. Jackson/Dena.

- Vice President - M. Fox
- M. Fox will be recused from any discussions regarding Horizon Day Care.
- Secretary / Treasurer - K. Doermann
- Secretary - E. Clements and K. Doermann went to the meeting regarding the proposed boundaries to attend the new "West Fairfax Elementary School" located in the Fair Chase development next to Alden Glen.
- All three proposals indicate Alden Glen will attend the new elementary school in 2006 with the exception of rising 6th graders who will attend their current school.
- E. Clements, K. Doermann, and A. Arges went to the Fairfax County Police Departments' Community Advisory Committee meeting. Discussion included recent crimes in the area.
- The police department has self defense classes for women for free two times a month
- Treasurer - Service First over paid the company that does the HOA audits and tax returns by $1600. K. Doermann spoke with B. Russell at Service First and was assured that this money would be returned to the HOA.
- Mailboxes will be delivered to the post office tomorrow.
- Each house will sign off when they receive the keys to their new mailbox slots.

- Architectural Review Committee - E. Clements
- Tot lot clean up, Saturday Nov. 12th at 10 AM.
- Walk thru's will be conducted on Dec. 1st.
- Meeting with Shenandoah and Centex tomorrow, Nov. 9th.
- Parking and Roads Committee - K. Doermann
- PSE electric company will come in tomorrow to fix the flood light by the basketball courts.
- Road work has been completed.
- Discussion of gravel path. E. Clements to pursue cost with Shenandoah.
- Nominating and Trash Committee - J. Savory
- R. Crandell has received a few quotes for new trash companies due to the notice from AAA that Alden Glen's cost will increase by about $7,000 per year.
- Ron shared the preliminary quotes he had received thus far but awaiting more bids.
- The current budget for trash is $21,600 per year.
- Discussion of companies.
- The new AAA cost begins in January.
- In order to control these costs, the board will need to vote on whether to change trash companies at the December meeting.

- Tabled magnets until trash issue has been settled.

- Lawyer has been called to attend meeting on Dec. 13th to answer any questions the board has for her.
Motion was made, seconded, and carried to approve to adjourn to executive session at 8:38 PM.
Returned to open meeting at 8:58 pm. No motions were made from the executive session.
