Board of Directors Meeting Minutes
October 11th, 2005

Directors Present: Jennifer Savory, John Clements, Kim Doermann, Mary Hanson, Elaine Clements

Others Present: Ron Crandell (SFMC), Mr. & Mrs. Lutz (Homeowner), Todd Lutz, Anna Arges

  1. Meeting Minutes
    • Motion was made, seconded and carried to approve September's minutes.

  2. Homeowner Issues
    • Homeowner D. Lutz is concerned about whether there are certain homeowners who are continually violating the parking rules and are not being reprimanded. She is concerned with the fact that some homeowners may be getting by with the parking violations.
    • Discussion of violations.
    • Discussion of being a member of the PRC Committee.
    • T. Lutz is concerned of the harshness of the parking rules.
    • Parking issues have become more complicated because of additional cars. Rental homes many times have more than 2 cars per house and also many children are now of driving age which has also increased the number of cars per household, therefore the association has had to increase the enforcement of the parking rules.
    • There have also been and increase in the number of complaints of homeowners regarding repeated parking violations.
    • Discussion of the community and how it can become more neighborly.
    • Suggestion of visitor's spaces being open to residents from 12 AM to 8 AM due to security needs. This would have to be something to be discussed within the PRC committee.

  3. Officer Reports
    1. President - J. Clements
      • Reserved the meeting room for 2006 which will remain the 2nd Tuesday of each month.

    2. Vice President - M. Fox
      • Not in attendance.

    3. Secretary / Treasurer - K. Doermann
      • Secretary - No Report
      • Treasurer - Financially the HOA is doing fine.
      • There was too much money deposited in the reserve account, but it will be corrected.
      • Unsure if the board is receiving the correct amount of reimbursement from Reese, Broome and Diaz with regards to delinquent accounts. There is a discrepancy between how much they owe and how much the HOA has received.
      • Spreadsheet to be sent to R. Crandell
      • Audit and 2004 tax returns from Goldsklang have been received.
      • Discussion of Reserve account and what types of expenses come out of reserves.

  4. Committee Reports
    1. Architectural Review Committee - E. Clements
      • ARC is asking for $175 for crape myrtle shrubs to plant where the 4 Bradford Pear trees were removed near the tennis court on Artery Dr. Motion was made, seconded, and carried to approve the $175 for the crape myrtle plants.
      • ARC is asking for $300 for tot lot clean up. Motion was made seconded and carried to approve
      • The basketball back board has been installed but is smaller than the previous one due to budget constraints.
      • The bench for the basketball court area was on backorder so R. Crandell instructed vendor to cancel the order since based on Home Depot prices, three benches can be purchased at the same cost. HOA will discuss purchase of benches in the spring of 2006.
      • Meeting is scheduled with Shenandoah Landscaping to discuss the new contract, private yard weed/feed service and other items in the community.

    2. Parking and Roads Committee - K. Doermann
      • The road work has been completed
      • Curb staining was supposed to be done today but it got rained out. Because of the rain it will be done next Monday and Tuesday.
      • Virginia Dominion Power has set up their transformer for the lighting in the front of the community.
      • It would cost $200 for Choice contractors to come in and remove the meter stands and two old lots. Motion was made, seconded and carried to approve the cost of $200 for removal of meter stands and lights.
      • The day care center has not paid the $546 that they owe for snow removal for last winter. R. Crandell advises the board to invite Mr. Jackson to next month's board meeting. Day Care Proffers require one meeting per year with Mr. Jackson and the Alden Glen Board. Letter to be sent asking Mr. Jackson to attend the November Board meeting.

    3. Nominating and Trash Committee - J. Savory
      • AAA has advised that they will have a $7,000 price increase to Alden Glen.
      • R. Crandell to get bids from other companies. AAA price increase to go into effect beginning in November. Currently Alden Glen is paying close to $11 per home per month. New cost will be $14.35 per household per month. R. Crandell indicated that Alden Glen currently has a very low price and other communities are already paying around $14-15 per month per household.

    4. Communications Committee
      • Did renew website servicing.
      • K. Doermann provided copies of the “Welcome to Alden Glen” booklet for new residents.
      • Board members agreed to put them in doors where they know there are new residents.
      • Discussion of putting up pictures of homes for sale on the news section of the website, as long as the homeowner agrees. No pricing or any information except for the photo and the address to be shown.
      • The board will trial this idea for one month and see how it goes.
      • Magnets will cost $120 to print.
      • Magnets are tabled until trash contract is finalized.

  5. Financial Management
    • No report.

  6. Contract Services
    • Snow Contract is all set for the winter time.
    • R. Crandell to get the emergency number to call for snow removal.

  7. Old Business
    • Discussion of placement for new mailboxes.

  8. New Business
    • None
